PizzaRoo Terms and Conditions of Booking & Information and Costing Details
Our dealings with you about all services provided will be governed solely by the following Terms and Conditions. Please read the information and costing details before submitting your deposit. By submitting a deposit, you will be confirming that you have read, understood, and accepted the following terms and conditions in full.
Booking
​
To secure a date, you must provide written/email confirmation of the required date along with a non-refundable deposit within 7 days of receiving the quotation.
​
Your quotation is valid for 1 month after which your quotation may be subject to revision.
​
Your contract is based on the number of guests stated in your most recent proposal or contract, if the number of guests is reduced, the overall contract value will be unaffected.
​
If we have not received your deposit in the agreed time before your event your quote will be subject to revision.
​
Final confirmation of the menu chosen must be given 14 days before the date of the event.
​
Confirmation of the final number of guests must be given 14 days before the date of the event either in writing or by email.
​

Payments, Deposits & Cancellations
​
Payments are made via bank transfer
​
Deposit must be received & cleared no later than 30 days before the event.
​
All quotation are FREE of charge, to secure the date we require a minimum of 25% deposit or £250 whichever is greater.
The value of the contract have to be cleared in full 24h before the event, unless we have another agreement in writing.
​
Deposits are date-specific and are non-refundable.
​
Cancellation for any reason within 3 months of the event will be charged at 50% of the deposit value.
Cancellation for any reason within 30 days of a function will be charged 100% of the deposit value.
Cancellations must be made during office hours between 9 am and 5.30 pm Monday to Friday and confirmed by email.
​
Interest will be charged on overdue payments. The interest will accrue at a rate of 5% above the prevailing Bank of England base rate on a compound basis for each full week or part there of the amount remains overdue. We will also seek to recover any debt recovery costs incurred because of non/late payment.
In the event a genuine mistake has been made on your proposal or invoice we reserve the right to amend or correct the mistake.

Food Safety
​
If you have any guests with allergies (gluten, nuts, etc) please let us know before the event in writing via email.
​
We cannot 100% guarantee there will be no trace allergens as there can be airborne contamination. If this is unclear, please speak to the office for further clarification.
​
Variables
​
All damages, breakages and losses to equipment etc. incurred during your event must be paid for in full.
​
PizzaRoo accepts no responsibility for loss or damage to guests or clients’ valuables or property.
​
We reserve the right to make any changes necessary to menus due to any product unavailability, food shortages, unusual price increases or any other unforeseen circumstances.
​
Set up, travel and pack up
​
We require all relevant information including timings, location, position of setup and any other relevant information to be returned to us no later than 30 days before your event.
To guarantee your day goes without a hitch you must take the time to consider all options carefully, please include any special instructions you have for us for the day.
Access is required for the Towing vehicles and The trailer along with a minimum level parking area of 6 metres x 3 metres.

Staff
​
Hours worked after midnight, if required, are charged for £99 per hour worked.
​
Equipment
​
All equipment is maintained and serviced regularly by qualified engineers in each field.
​
We hold current PAT Testing Certificates.
​
All vehicles are serviced by dealers & manufacturers regularly.
All vehicles used in the transportation of equipment hold specialist breakdown cover so that we may be relayed to your event. This however may be subject to a delay in service start times depending on the recovery company’s workload.
In the event of equipment failure PizzaRoo will either seek to resolve the issue or where possible source another oven to deliver service.

If we are unable to carry out service PizzaRoo will refund any/all payments received in full.
​
Delays
​
If our team are delayed due to unforeseen circumstances such as:
​
-vehicle breakdown;
-road traffic;
-extreme and unforeseen events that could pose a serious safety concern;
-extreme conditions that can seriously disrupt service;
-extreme weather conditions;
-acts of God;
-pandemics;
-war;
​
If the event is delayed 2 hours or more, 25% of all received funds will be refunded in 5 working days.
​
We reserve the right to halt service or cancel service until we feel it is safe to do so.
In such a case and where we have acted in good faith, we cannot offer a refund.

Special requirements
​
We are happy to cater for vegetarians, vegans, kosher, halal, food allergies and all special diets if notified at least 30 days in advance.
We reserve the right to refuse service to guests with allergies or intolerance if we feel we are unable to safely feed these guests. We should make this clear this very rarely happens, but the safety and well-being of your guests are vital to PizzaRoo.
If there are a significant amount of variations of menu items in your party there may be a supplement to pay for these special meals.
